One of the first things people ask when planning a tented event is, “How much space do I actually need?”
And the answer is… it depends!
There’s more to figuring out tent space than just counting your guests. The number of people attending is important, but we also need to consider how you want your event set up.
Start With Your Guest Count
Your guest count is the best place to start.
A dinner with everyone seated at tables will require more space than a cocktail-style event where guests are standing and mingling. The type of tables you’re using, how they’re arranged, and how much room you want between tables can all make a difference.
And remember—your guests aren’t the only things taking up space!
Don’t Forget Everything Else!
When planning your tent size, you also need to account for the other pieces that will be inside the tent.
Depending on your event, you may need space for:
- Guest tables and chairs
- A dance floor
- A stage or entertainment area
- Bars
- Buffet or food stations
- Cocktail tables
- Lounge furniture
- Gift tables
- A DJ or band
- Catering and service areas
This is why two events with the exact same guest count may need completely different tent sizes.
Think About How You Want Your Guests to Move
A tent shouldn’t feel like you’re trying to fit every single person and rental item into the smallest possible space.
Your guests need room to walk, mingle, get to their tables, grab a drink, hit the dance floor, and enjoy the event without feeling cramped.
We also want to make sure there is enough room for your vendors and staff to comfortably do their jobs.
